Collection and Use of Personal Data of Customers, Suppliers and Other Contractors
We would like to inform you that we collect and process the personal data you provide to us because this is necessary for entering into and performing an agreement with you. This applies to both our (potential) customers and the parties from whom we purchase products and/or services.
If you are one of our (potential) customers, we use your personal data to send you quotations, determine the specifications or requirements that products or services must meet, deliver products or provide services, issue invoices, and communicate with you efficiently regarding the execution of the agreement.
If you are one of our (potential) suppliers or another contractor, your personal data is also required for entering into and carrying out an agreement. In the case of procurement, we use your data to communicate our requirements and specifications, send requests for quotations, place orders, process payments, and communicate efficiently regarding other aspects of the agreement.
You are not obliged to provide us with your personal data. However, if you do not provide us with sufficient personal data, we may be unable to carry out the activities described above.
Disclosure to Third Parties
In connection with the execution of an agreement with you, we may need to share your personal data with third parties that supply us with components, materials or products, or that perform services on our behalf.
We also use external server facilities to store parts of our sales and purchasing administration, which may include your personal data. For this reason, your personal data may be shared with our hosting provider.
In addition, we use Microsoft Office and its associated storage facilities for emails and other files.
Finally, because we use a newsletter mailing service, your personal data may also be shared with the provider of this service.
Retention Period for Personal Data
If you request a quotation from us but do not become a customer, we will retain your personal data for as long as necessary unless you request its earlier deletion.
Similarly, if we receive a quotation from you but do not become your customer, we will retain your personal data for as long as necessary unless you request its deletion.
If you become our customer, or if we become yours, we will retain your personal data for a minimum of seven years following the end of the financial year in which the agreement has been fully completed.
This seven-year period corresponds to the statutory retention period required by the Dutch Tax Authorities. After this period has expired, your personal data will be deleted.
Your Rights
You have the right to request access to your personal data.
Where appropriate, you may also request that we supplement your personal data or correct any inaccuracies.
In addition, you have the right to request the deletion of your personal data or to restrict the processing of your personal data.
You may also object to the collection and use of your personal data or file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Finally, you may request a copy of your personal data or ask us to transfer your personal data to another party.
